3 Tips to Best Use Your VA during the Holiday Season

The beginning of December marks the end of the year.  Aside from Christmas shopping, baking and parties, what will you be doing during the month of December leading into the holidays and Christmas break to prepare your business for the New Year?  Or better question, what are you preparing to delegate to your Virtual Assistant (VA)?  Don’t know?  Well here are 3 things to give your VA to ensure that you are prepared to bring in the New Year with a “hit the ground running” attitude.  

  1. Out with the old and in with the new.  Staying organized and current is a great way to maximize efficiency within your business.  Electronic files can become messy through the year, so this is the perfect time to have your VA organize your existing files and folders or set up an electronic filing system going forward into January, so you have a clean fresh start.  She may even recommend a Cloud based system like Dropbox or Google Drive to share files and folders easier and ensuring you both have access at any given time.
  2. Plan it out.  During this time of year I set my goals, intentions and vision for how I want the following year to look.  Perhaps you do the same, and if you don’t allow your VA to take part of your planning, then you are missing out on another, important perspective to think about.  Your VA can add another dimension to your plans, plus this is also a great opportunity to widen the scope of work that your VA does for you.  He will be able to see your big picture and find other  ways to help you, using other skills that you have not needed until now.
  3. Document your processes.  This is a great time to do this!  Your VA likely has notes on how to fulfill a task and certain standards you prefer within your business, or how to use a specific system…these are not official, as they are just notations.  She can combine these notes and bits of information and prepare a document which can be turned into a manual for your business.  You can provide your VA with audio files about a certain process that you or another employee/partner does, and she can type it out as well.

Whether you are consistently busy or slow down during this time of year, your VA can stay busy while you take some time for yourself and your family.  The year has been hectic, and you want to start the New Year on a strong note - just like you are ending this year!
